Proposing A PR Event

Description

Use the instructions on the “Assignment 3 Directions” document. Choose a specific goal as mentioned in the document, such as “celebrate, promote something, raise funds, honor a person, educate attendees or some other worthy intent that is appropriate for the organization/issue and a given scenario.” Use the Parabolic Inc website when needed. The client is the Greater Washinton Community Foundation. Use the “EXHIBITOR NOTICE: 15TH ANNUAL COMMUNITY HEALTH & WELLNESS EXPO” document to guide your answers. Use the “PR Event Planning” document to guide your answers.

TASK | In your position as a Junior Associate with Parabolic Communications (“student”), create a draft communication plan to your “mentor,” for a PR event featuring the client Greater Washington Community Foundation
Remember, in the real world, the PR firm’s executive team will make the final decision to approve or reject your draft idea. Therefore, your proposed event should be designed to achieve a specific goal: celebrate, promote something, raise funds, honor a person, educate attendees or some other worthy intent that is appropriate for the organization/issue and a given scenario. • Have you considered the event elements discussed in Lecture Notes 5.0., as well as the other related materials in Week 5?
• Have you identified the Greater Washington Community Foundation’s target audience(s) for your event? Why would this event appeal to and attract these or other people?
• Should you describe the event, its goals, and the reasons it might appeal to your client’s intended target audience(s)? Did you explain the event in sufficient detail for the executive team to understand what you are proposing?
• Have you considered an appropriate timeline?
• What costs do you need to consider and, if so, did you create an appropriate budget and is it realistic? For example, do you need to consider transportation, rental of location’s space, electrical, advertising, registration (if necessary), decorations, tables, chairs, security, free handout items (“tchotchkes” and information (or press kits), publication costs, staffing, overtime, etc.?
• Did you consider what the client might anticipate as a “return on investment?
• Did you develop some cool/creative ways to pitch your idea to the client? Note: run it by me (your faculty member) if you’re unsure.
Your Paper
• Begin with a Memo, to your “mentor,” using the Parabolic Letterhead (found under Course Resources); it serves as an “academic cover sheet” for this course. If you do not know how to format and write a business letter or Memo, visit the OWL resource (Revisions in Business Writing) found in the class Writing Resources, or visit The Visual Communicator.)
• Write a 3 to 6-page proposal in a business format, although you are using a business writing format for the assignment, DO include any necessary citations (APA format) for your paper’s content. Write tight, using active voice (PR style) for business writing, not academic style.
• Also, use 1 ½ line spacing or appropriate line spacing for each task or use the appropriate line spacing required for a specific PR product you might consider including in your package and be sure to insert a “page break” between each product element.
• Your effort should be submitted as ONE complete document. Normally, news releases are double-spaced; Memo’s single or 1 ½ spaced, and Fact Sheets 1½-line spaced. Be sure to use headings, indenting, and paragraphing as appropriate on Parabolic Communication stationery (letterhead) for all “correspondence,” and blank or plain pages for the analysis or other work that is not a piece of correspondence. Please separate each element of your assignment using a “page break.”
